Privacy Policy

Vertex Academy ("we", "us") provides membership-based tutoring for school-aged students in Auckland, New Zealand, through our centres, our website, our online parent and student portal, and our mobile app. This policy explains what personal information we collect, why, and how we handle it, in line with the New Zealand Privacy Act 2020.
What we collect
- Contact details — a parent or caregiver's name, email address, and phone number, provided when booking an assessment, joining, or contacting us.
- Student details — the student's name, school year level, school, and subject needs, provided by their parent or caregiver.
- Learning records — placement and practice test results, curriculum progress, attendance at sessions, and tutor notes about learning. These exist to personalise teaching and report progress to you.
- Payment records — membership and payment status. Card details are handled by our payment provider (Stripe) and never reach our systems.
- Website analytics — anonymous, first-party page-view counts. We do not use third-party advertising trackers, and we respect your browser's Do Not Track setting.
- Notifications — if you turn on app notifications, we store the technical subscription your device gives us so we can send session reminders. You can turn this off in the app at any time.
Children's information
We collect student information from and with the consent of a parent or caregiver. Student portal logins are only created at a parent's or our centre's instigation, and student accounts can see their own timetable, worksheets, and progress — never billing or payment information.
How we use it
We use personal information only to run the service: placing students at the right level, running sessions, tracking and reporting progress, processing membership payments, and sending service messages (booking confirmations, session reminders, progress reports, and announcements). We do not sell personal information, and we do not use it for third-party advertising.
Who we share it with
Only the service providers needed to operate: our database and authentication platform (Supabase), our hosting provider (Railway), our email delivery provider (Resend), and our payment processor (Stripe). Each receives only what it needs to perform its function. Some providers store data on servers outside New Zealand; we choose providers with strong security practices consistent with the Privacy Act's cross-border disclosure rules.
How we protect it
All data is encrypted in transit (HTTPS). Access to student records is restricted by role: parents and students see only their own family's records, and staff access is limited and logged. We keep an access log of views of student performance data.
How long we keep it
We keep learning records while a student is enrolled and for a reasonable period afterwards so returning students can pick up where they left off. Payment records are kept as required by New Zealand tax law.
Your rights
Under the Privacy Act 2020 you may ask for a copy of the personal information we hold about you or your child, ask us to correct it, or ask us to delete it (subject to legal retention requirements). Email hello@vertexacademy.co.nz and we will respond within 20 working days. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner.
